REFUND AND CANCELLATION POLICY

Introduction

At La Cabane Trip, we understand that travel plans can change. This Refund and Cancellation Policy outlines our terms for cancellations, refunds, rescheduling, and related matters for all our services including surf lessons, accommodation, and excursions.

Business Information:

Please read this policy carefully before making a booking. By completing a booking, you agree to the terms outlined below.

1. Payment Terms

1.1 Deposit Requirements

  • All services require a 25% deposit at the time of booking confirmation
  • Deposit must be paid via bank transfer to secure your reservation
  • Booking is only confirmed upon receipt of deposit payment

1.2 Final Payment

  • Remaining 75% payment is due:
    • For Surf Lodge guests: Upon check-in at the property
    • For surf lessons only: At pickup location before the session begins
    • For excursions: At pickup location on the day of the trip

1.3 Accepted Currencies

We accept payments in:

  • Euros (EUR) – Primary currency
  • Moroccan Dirhams (MAD)
  • US Dollars (USD)

Exchange rates will be based on current market rates at the time of payment.

1.4 Payment Methods

  • Bank Transfer (primary method)
  • Cash on arrival (for final payment only)

2. Surf Lessons Cancellation Policy

Our surf lesson packages include: Half Day (€40), Full Day (€60), and Surf Guiding (€50).

2.1 Customer Cancellations

Cancellation 48+ Hours Before Scheduled Lesson

  • 100% refund of all payments made
  • Deposit fully refundable
  • No cancellation fees apply

Cancellation Less Than 48 Hours Before Lesson

  • 25% cancellation fee (deposit is non-refundable)
  • Remaining 75% will be refunded
  • Exception: Medical emergencies with documentation may qualify for full refund

No-Show (Failure to Arrive)

  • No refund will be issued
  • Full payment is forfeited

2.2 Weather-Related Cancellations

If we cancel due to unsafe surf conditions:

  • 100% full refund, OR
  • Free rescheduling to another date during your stay
  • No cancellation fees apply
  • We prioritize your safety above all

Our surf instructors make the final decision on whether conditions are safe for surfing based on:

  • Wave size and power
  • Wind conditions
  • Ocean currents
  • Weather visibility

2.3 Rescheduling Surf Lessons

  • Free rescheduling available with 48+ hours notice
  • One-time free reschedule for cancellations with less than 48 hours notice
  • Additional reschedules may incur €10 administrative fee
  • Subject to instructor availability

3. Surf Lodge Accommodation Cancellation Policy

Our accommodation packages include: Surf & Stay (from €100/night), Surf Guiding (from €80/night), and Bed & Breakfast (from €30/night).

3.1 Customer Cancellations

Cancellation 14+ Days Before Check-In

  • 100% full refund of all payments made
  • Deposit fully refundable
  • No cancellation fees apply

Cancellation 7-13 Days Before Check-In

  • 50% refund of total booking amount
  • 50% cancellation fee applies (including deposit)

Cancellation Less Than 7 Days Before Check-In

  • Deposit is non-refundable (25% of total booking)
  • Remaining 75% will be refunded if not yet paid
  • If full payment already made, only 75% refunded

Cancellation Within 48 Hours of Check-In

  • No refund will be issued
  • Full payment is forfeited
  • Exception: Medical emergencies or travel disruptions with documentation may be reviewed case-by-case

No-Show

  • No refund will be issued
  • Full booking amount is forfeited

3.2 Early Departure Policy

If you depart before your scheduled checkout date:

  • No refund for unused nights
  • Exception: Medical emergencies with documentation will be reviewed for partial refund (50% of unused nights)
  • We recommend travel insurance to cover unexpected departures

3.3 Minimum Stay Requirements

  • Atlantic View Room: Minimum 2 nights
  • Upper Deck Dorm: Minimum 2 nights
  • Baya Single Room: Minimum 2 nights

Minimum stay requirements apply to all bookings.

3.4 Modifications to Booking

Changing Dates:

  • Free date changes with 14+ days notice (subject to availability)
  • €20 administrative fee for changes within 7-13 days
  • Not permitted within 7 days of check-in

Changing Room Type:

  • Subject to availability
  • Price difference applies
  • Must request 48+ hours before check-in

4. Excursions Cancellation Policy

Our excursions include: Paradise Valley (€35-70), Sand Dunes (€35-70), and Imsouane Surf Trip (€60-100).

4.1 Customer Cancellations

Cancellation 48+ Hours Before Excursion

  • 100% full refund
  • No cancellation fees apply

Cancellation Less Than 48 Hours Before Excursion

  • 25% cancellation fee (deposit non-refundable)
  • Remaining 75% will be refunded

No-Show

  • No refund will be issued

4.2 Minimum Group Size Requirements

Group Trips (€35 per person for Paradise Valley & Sand Dunes; €60 for Imsouane):

  • Minimum 2 participants required
  • If minimum not met, we will notify you 24 hours before the excursion
  • You will receive a 100% full refund OR
  • Option to upgrade to private trip pricing

Private Trips (€70 per person for Paradise Valley & Sand Dunes; €100 for Imsouane):

  • No minimum participants required
  • Guaranteed to proceed

4.3 Weather-Related Cancellations

If we cancel due to unsafe weather or road conditions:

  • 100% full refund, OR
  • Free rescheduling to another available date
  • Our guides make final decisions based on safety

4.4 Rescheduling Excursions

  • Free rescheduling with 48+ hours notice
  • Subject to availability
  • Weather-related reschedules are always free

5. Force Majeure

We are not liable for failure to perform our obligations due to circumstances beyond our control, including but not limited to:

  • Natural disasters (earthquakes, floods, storms)
  • Pandemic or epidemic outbreaks
  • Government-imposed travel restrictions
  • Civil unrest or political instability
  • Acts of terrorism

In Force Majeure events:

  • No refund for services already rendered
  • Full refund for services not yet provided
  • Or credit voucher valid for 12 months from original booking date

6. Refund Processing

6.1 Refund Timeline

  • Approved refunds will be processed within 7-14 business days
  • Bank transfer refunds may take 5-10 additional business days depending on your bank
  • You will receive email confirmation once refund is processed

6.2 Refund Method

  • Refunds issued via bank transfer to the original payment account
  • Currency: Refunded in the same currency as original payment

6.3 Non-Refundable Items

The following are non-refundable under any circumstances:

  • Credit vouchers or promotional discounts (cannot be converted to cash)
  • Third-party services already incurred (if applicable)

7. Travel Insurance

We strongly recommend purchasing comprehensive travel insurance that covers:

  • Trip cancellations and interruptions
  • Medical emergencies
  • Travel delays
  • Lost or damaged belongings
  • Surf-related accidents

Important: La Cabane Trip does not provide travel or medical insurance. Guests participate in surf activities at their own risk.

8. Damage and Breakage Policy

8.1 Accommodation Damages

  • Guests are responsible for any damage to the Surf Lodge property
  • Accidental minor damage: Please report immediately to staff; no charge if reasonable wear and tear
  • Significant damage or negligence: Repair/replacement costs will be charged to the guest
  • Examples: Broken furniture, damaged equipment, stained linens beyond normal use, lost keys

8.2 Surf Equipment Damages

  • Normal wear and tear: No charge
  • Damaged or lost surfboards/wetsuits due to negligence: Repair or replacement cost charged to guest
  • Lost equipment: Full replacement value charged

Pricing for Lost/Damaged Equipment:

  • Surfboard (minor repair): €20-50
  • Surfboard (major damage/lost): €200-400
  • Wetsuit (lost or unrepairable): €80-150
  • Lodge key replacement: €30

9. Special Circumstances

9.1 Medical Emergencies

If you must cancel due to a medical emergency:

  • Provide medical documentation within 48 hours
  • We will review for potential full or partial refund
  • Travel insurance is the best protection for these situations

9.2 Family Emergencies

In cases of immediate family bereavement or critical illness:

  • Contact us immediately
  • Provide documentation
  • We will work with you to find a fair solution (refund or credit voucher)

9.3 Travel Visa Denials

If your Moroccan visa is denied:

  • Provide official denial documentation
  • 100% refund minus bank transfer processing fees
  • Must notify us within 48 hours of denial

10. Complaints and Disputes

If you are unsatisfied with our services:

  1. Speak with us immediately during your stay so we can resolve the issue
  2. Email us within 7 days after your experience with details
  3. We will investigate and respond within 5 business days
  4. If issue relates to refund, we’ll process within refund timeline stated above

Our goal is your satisfaction. Most issues can be resolved through open communication.

11. How to Request a Cancellation or Refund

To cancel your booking or request a refund:

    • We will confirm receipt of your cancellation within 24 hours
    • Refund eligibility and amount will be communicated
    • Processing timeline will be provided

12. Amendments to This Policy

La Cabane Trip reserves the right to modify this Refund and Cancellation Policy at any time. Changes will be effective immediately upon posting to our website.

Your booking is subject to the policy version in effect at the time of booking confirmation.

13. Governing Law

This Refund and Cancellation Policy is governed by the laws of Morocco. Any disputes will be subject to the jurisdiction of the courts in Agadir, Morocco.
